Password protection of Microsoft Outlook

Currently there is no way to password protect Outlook on startup or to lock Outlook if you need to quickly walk away from your computer other than by using your Microsoft Windows® logon password or by using third-party software written specifically to password protect Outlook. However, you can set a password on your Personal Folders file (.pst) (Personal Folders file (.pst): Data file that stores your messages and other items on your computer. You can assign a .pst file to be the default delivery location for e-mail messages. You can use a .pst to organize and back up items for safekeeping.). If you use an Internet e-mail account in Outlook, such as a POP3 (POP3: A common protocol that is used to retrieve e-mail messages from an Internet e-mail server.) or HTTP (HTTP (Hypertext Transfer Protocol): Protocol that is used when you access Web pages from the Internet. Outlook uses HTTP as an e-mail protocol.) account, your e-mail messages are delivered to a .pst data file on your computer's local hard disk. You can use a password on your .pst file to help prevent accidental intrusion by other people whom you share your computer with.

  1. On the Go menu, click Folder List.
  2. Do one of the following:
    • If you have a POP3 e-mail account, right-click the Personal Folders folder, and then click Properties For "Personal Folders" on the shortcut menu.
    • If you have an HTTP e-mail account (not supported in Outlook 2000), such as MSN® Hotmail®, right-click the Hotmail folder, and then click Properties For "Hotmail" on the shortcut menu.
  3. On the General tab, click Advanced.
  4. Click Change Password.
  5. In the Change Password dialog box, type your new password and verify it by typing it a second time. The password can be up to 15 characters.

Note Use strong passwords that combine upper- and lowercase letters, numbers, and symbols. Weak passwords don't mix these elements. Strong password: Y6dh!et5. Weak password: House27. Use a strong password that you can remember so that you don't have to write it down.

  1. Make sure that the Save this password in your password list check box is cleared. This prevents the password from being cached, and you need to type the password each time you run Outlook. Don't forget the password.
  2. Click OK three times.

When you click the e-mail account folder, you will be prompted for your password. After you gain access, you won't have to enter the password again for that session. If you exit and then restart Microsoft Outlook, you will be prompted for the password when you click the e-mail account folder.

Important The .pst password feature is not intended to provide security against hackers. It is just a way to prevent inadvertent intrusion by other people whom you trust and share your computer with, such as at home with your family. A more secure way of protecting your data on a computer that you share with other people is to create a password-protected Windows user account for each individual using the computer Support.

Send a vCard Using Microsoft Outlook

You Can send vCard Using Microsoft outlook. I want to continue with Microsoft Outlook vCard and want to share my Experience with Microsoft Outlook and Computer Support.

  1. In your Microsoft Outlook Contacts, enter information for the person whose business card you want to send. (If you've already done this, go to step 2.
  2. On the File menu, point to New, and then click Contact. In the Full Name box, type a name for the contact. Enter any additional contact information.

Tip To quickly create an entry in Contacts for another individual, open a message you received from them, right-click on the sender's name in the From line, and then click Add to Contacts on the shortcut menu.

  1. Send the vCard to the individual you want to receive it. In the open contact, on the Actions menu, click Forward as vCard. Outlook attaches the contact information in a vCard file called contactname.vcf
  2. Complete the rest of the message and click Send.

Note You can automatically include a vCard every time you send a message. Just add the vCard to your signature!

Outlook does not save a copy of contactname.vcf on your hard disk when you send the vCard directly from Contacts. This means that you'll need to open Contacts each time you want to send someone's vCard. If you want more flexibility in distributing a vCard — for example, if you want to be able to insert a vCard in a message that you've already started composing or in other Outlook items-save the file for that vCard to a convenient location where you can access it.

Install this update

Note Once you've updated your version of Outlook, you should also:

Password is not saved when connecting to an e-mail server

If you have problems saving your e-mail account password, the Microsoft Windows® Registry setting might be incorrect.

Every time that you use Outlook to connect to your POP3 e-mail account, you might be prompted for a password. Even though you selected the Remember this password check box, each time that you send or receive e-mail messages, you might be prompted for your password again.

Microsoft Knowledge Base article 290684 is available to help you correct this behavior by stepping you through the process of removing your user account information from the Protected Storage System Provider subkey in the Windows Registry and entering your password options again in Outlook.

Warning If you use registry editor incorrectly, you might cause serious problems that might require you to reinstall your operating system. Microsoft cannot guarantee that you can solve problems that result from using registry editor incorrectly. Use registry editor at your own risk.

Use Outlook with Adelphia.net

You can use Outlook with your Adelphia.net e-mail account. The following steps set up Outlook to both receive and send e-mail messages with your Adelphia.net account.

Note You can receive your Adelphia.net e-mail messages by using Microsoft Outlook from most places with an Internet connection. However, to send e-mail messages, you must be connected directly to the Adelphia.net service or use an alternate Simple Mail Transfer Protocol (SMTP) e-mail server on the service you are using at that location. For example, if you want to check your Adelphia.net e-mail account at work, configure Outlook to use your work SMTP server to send messages.

Add your Adelphia.net e-mail account

  1. On the Tools menu, click E-mail Accounts.
  2. Click Add a new e-mail account, and then click Next.
  3. Click POP3, and then click Next.
  4. Under User Information, do the following:
    1. In the Your Name box, type your full name the way that you want it to appear to other people.
    2. In the E-mail Address box, type your e-mail user name, followed by @adelphia.net.
  5. Under Server Information, do the following:
    1. In the Incoming mail server (POP3) box, type mail.adelphia.net.
    2. In the Outgoing mail server (SMTP) box, type mail.adelphia.net.
  6. Under Logon Information, do the following:
    1. In the User Name box, type your user name provided by Adelphia.net.
    2. In the Password box, type your password.
    3. Select the Remember password check box.

Note You have the option to have Outlook remember your password by typing it in the Password box and selecting the Remember password check box. Having Outlook remember your password means that you won't have to type your password each time you access the account; however, it also means that the account is vulnerable to anyone who has access to your computer.Use strong passwords that combine upper- and lowercase letters, numbers, and symbols. Weak passwords don't mix these elements. Strong password: Y6dh!et5. Weak password: House27. Use a strong password that you can remember so that you don't have to write it down.

  1. To verify that your account is working, click Test Account Settings. If there is missing or incorrect information, such as your password, you are prompted to supply or correct it. Make sure your computer is connected to the Internet.
  2. Click More Settings.
  3. On the General tab, under Mail Account, type Adelphia.net.
  4. Click OK, and then click Next.
  5. Click Finish.

Notes

  • Do not select the Log on using Secure Password Authentication (SPA) check box.
  • Unless specified by Adelphia.net, all server and address entries are typed in lowercase letters.

Remove your Adelphia.net e-mail account

  1. On the Tools menu, click E-mail Accounts.
  2. Click View or change existing e-mail accounts, and then click Next.
  3. Click the Adelphia.net e-mail account that you want to remove, and then click Remove.
  4. Click Finish.

Tips for managing your Outlook mailbox

There are following tips for managing Outlook Mailbox
Use keyboard shortcuts
Once you discover keyboard shortcuts, you may find it tough to use your computer without them. Here are three important keyboard shortcuts that you can use to manage e-mail messages in your Outlook Inbox:
• Press CTRL+D to delete the current e-mail message.
• Press CTRL+R to reply to the current e-mail message.
• Press CTRL+F to forward the current e-mail message.
You can also manage junk e-mail in your Outlook 2002 Inbox with the following keyboard shortcuts. If the Junk E-mail feature hasn't been enabled in Outlook, follow these steps first:
1. On the Tools menu, click Organize, and then click Junk E-Mail.
2. Set options for handling junk mail and/or adult content messages, and then click Turn on. You can now use the following shortcuts to manage your junk e-mail:
• Press ALT+A, J, J to add the current e-mail message's sender to your Junk Senders List.
• Press ALT+A, J, A to add the current e-mail message's sender to your Adult Content Senders List.
After running one of these commands, press CTRL+D to delete the current e-mail message.
Automatically manage incoming messages
You can set up rules to have Outlook 2002 help you manage incoming e-mail messages. For example, Outlook can:
• Alert you when you receive a message from your supervisor.
• Move messages that have the text "Meeting Minutes" in the Subject line to your Meetings folder.
• Flag incoming messages that are from a distribution list.
To set up a rule:
1. On the Tools menu, click Rules Wizard.
2. Click New.
3. Click an action in the upper list.
4. Customize the action in the lower list.
5. Click Next.
6. Provide any additional information based on the action that you selected.
7. Click Finish.
Note After step 7, you will see a message: This rule is a client-only rule, and will process only when Outlook is running. This isn't an error message; it just indicates that this rule resides on your computer and is only active when Outlook is running. Server-side rules (rules that reside on a server) are active regardless of whether Outlook is currently running or not.
Streamline your frequent mailers
If you frequently send e-mail to the same person, make it easier on yourself. In Outlook, you can create a desktop shortcut that will open a blank, pre-addressed message that's all ready for you to send. Here's how:
1. Right-click in an empty area of your desktop, point to New, and then click Shortcut.
2. In the Create Shortcut dialog box, type mailto: and enter the e-mail address of your recipient, leaving no spaces.
3. Click Next, and then choose a name for your shortcut.
4. Click Finish, and a new shortcut appears on your desktop.
5. Double-click the icon, and Outlook opens with your recipient's address in the To field. Just compose your message and send as normal.
Clean up your mailbox
You can quickly clean up your Outlook mailbox to reduce the amount of distracting mailbox clutter. To use this feature:
1. On the Tools menu, click Mailbox Cleanup.
2. Select options to find old or large items to move or delete.
3. Do one of the following:
o Click AutoArchive to move old items to Archive Folders.
o Click Empty to permanently delete items from your Deleted Items folder.
Tips
• To see where the archive folders are stored, right-click the Archive Folders folder in your Folder List, click Properties for Archive Folders, click Advanced, and look at the Filename box.
• To customize archiving behavior, on the Tools menu, click Options, click the Other tab, and click AutoArchive.
Read e-mail messages without opening them
You can quickly manage your Outlook e-mail messages by glancing at the message content without taking the time to open the messages. There are two ways:
• On the View menu, click AutoPreview to see the first three lines of each e-mail message in the message list.
• On the View menu, click Preview Pane to see the complete e-mail message below the message list.

Repairing an Offline Folder file (.ost)

You may want to scan and repair your .ost if you:

  • Encounter a large numbers of conflict items.
  • Cannot open particular Outlook items when offline.
  • Receive unexpected synchronization error messages (as shown in the synchronization log in the Deleted Items folder).
  • Receive the message:

Unable to expand the folder. The set of folders could not be opened. Errors could have been detected in the file drive:\Documents and Settings\user\Local Settings\Application Data\Microsoft\Outlook\Outlook.ost. Quit all mail-enabled applications, and then use the Inbox Repair Tool.

Note The file path specified in the message may vary depending upon the operating system you are using on your computer.

In addition, you might be able to open folders in the .ost but get synchronization error messages that do not go away. This happens when a single e-mail message is damaged and the synchronization process cannot correct it. You can use the OST Integrity Tool to fix damaged messages or to move them so you can synchronize successfully.

Important: You may need to run scanpst.exe (see the first procedure above) first if the OST Integrity Tool cannot open the .ost file.

To scan and repair the .ost file

  1. Close Outlook.
  2. On the Start menu, click Run.
  3. In the Open box, type

drive:\Program Files\Common Files\System\Mapi\LocaleID\scanost.exe

where LocaleID is the locale identifier (LCID) for your installation of Microsoft Office. For example, the LCID for English (United States) is 1033. For a list of LCIDs, see Microsoft Office Help.

  1. Click OK.
  2. Click either Scan all folders or Choose folder to scan. If you click Scan all folders, this may take several minutes.
  3. Select the Repair errors check box.
  4. Click Begin Scan.

Details of actions performed during the scan and repair are saved as a message in your Outlook Deleted Items folder with the subject "OST Integrity Check."

If the Offline Folder file cannot be repaired, you can disable it and create a new one.

To disable the .ost file and create a new one

  1. On the Tools menu, click E-mail Accounts, click View or change existing e-mail accounts, and then click Next.
  2. In the list, click Microsoft Exchange Server, and then click Change.
  3. Click More Settings.
  4. Click the Advanced tab, and then click Offline Folder File Settings.
  5. Click Disable Offline Use.
  6. In the File box, type the path to the file you want to use as the new .ost file. The default file name is outlook.ost. If this file name already exists, you are prompted for a new name.

Repairing a Personal Folders file (.pst)

You may need to use the Inbox Repair Tool if you open your Outlook .pst file and receive this message:

Unable to expand the folder. The set of folders could not be opened. Errors could have been detected in the file drive:\Documents and Settings\user\Local Settings\Application Data\Microsoft\Outlook\Outlook.pst. Quit all mail-enabled applications, and then use the Inbox Repair Tool.

Note The path to the file specified in the message may vary depending upon the operating system you are using on your computer.

To repair the .pst file

  1. On the Start menu, click Run.
  2. In the Open box, type

drive:\Program Files\Common Files\System\Mapi\LocaleID\scanpst.exe

where LocaleID is the locale identifier (LCID) for your installation of Microsoft Office. For example, the LCID for English (United States) is 1033. For a list of LCIDs, see Microsoft Office Help.

  1. Click OK.
  2. In the Enter the name of the file you want to scan box, type the path and file name given in the error message above.

Note You may not be able to use the Browse button to locate this file because it is located in a hidden folder.

  1. To change the options for logging errors during the scan, click Options. If you choose Replace log or Append to log, the log file is saved to the same directory as the .pst file.
  2. Click Start.
  3. When the file scan is completed, select the Make a backup of scanned file before repairing check box.
  4. Click Repair.

If the file is successfully repaired, you will see a Repair complete message. If the Inbox Repair Tool was unable to repair the file, you will need to use a backup of your file.

To begin using your backup file as your new primary file

  1. Start Outlook.
  2. On the File menu, click Data File Management.
  3. Select the .pst that is damaged, and then click Remove.
  4. Click Add, select Personal Folders File (.pst), click OK, and then select the .pst file you want to use as the new primary file.
  5. Click OK.

You should not rely solely on the Inbox Repair Tool for disaster recovery. A system of regular backups of your .pst file is an important part of preventing data loss. You can back up the file in several ways, including copying it to another location, backing up all of the files on your computer, or by using the Personal Folders Backup utility, available on the Microsoft Office Online site.
